Turn meeting notes into action items with ChatGPT

Get a clear follow-up without turning a suggestion into a decision. Keep the owners, deadlines and unanswered questions faithful to your notes.

One sentence. An important distinction.

“Mark suggested trying a monthly newsletter.”

A suggestion to discuss

Not an instruction for Mark to launch it.

Fictional meeting notes for practice.

Ask for three lists, not a polished story.

A meeting summary is useful when people can see what was decided, what they need to do and what remains open. Smooth writing matters less than preserving those distinctions.

Paste the fictional notes below into a new ChatGPT conversation. No recording, file upload or connected app is needed for this exercise. Only share real meeting information if your organization permits it.

Try this in ChatGPT

Turn these fictional meeting notes into a short action list. Meeting: October 12, 2026. Decision: keep the current website pricing for now. Joan agreed to prepare two customer email drafts by October 16, 2026. Mark suggested trying a monthly newsletter. No decision was made. The team agreed to check why the order form is slow. No owner or deadline was assigned. Separate confirmed decisions, agreed actions and suggestions still to discuss. For each action, show the owner and due date. Write not assigned or not specified where information is missing. Do not turn a suggestion into an approval or invent a deadline. Draft only; do not send anything.

Uses fictional information. Your answer may differ from the example.

This is what a faithful summary preserves.

Use this worked reference to check your result. ChatGPT may phrase it differently; names, dates and decision status should still match.

01 · Confirmed decision

Keep the current website pricing for now.

No price change was approved.

02 · Agreed actions

  • Prepare two customer email drafts

    Joan · Due October 16, 2026

  • Check why the order form is slow

Owner: not assigned · Due date: not specified

03 · Still to discuss

Try a monthly newsletter.

Mark suggested it. No decision or launch date was recorded.

A blank is better than an invented answer.

If ChatGPT assigns the order-form task to Mark, or gives it a Friday deadline, it has filled a gap without evidence. Correct it by pointing back to the notes:

“The notes do not assign an owner or deadline to the order-form task. Mark both as missing. Keep the newsletter under suggestions, not agreed actions.”

Before sharing, confirm the missing owner and date with the people involved. Then ask ChatGPT to update the action list using those confirmed details.

Your check: should Mark appear as the newsletter’s action owner?
No. Suggesting an idea is not the same as agreeing to deliver it. Keep Mark’s name as the source of the suggestion, without assigning an action that the meeting did not approve.
